How do I book a speaker?
Identify one or a shortlist of suitable speakers using our website or let us assist you by sending us an email or telephone the appropriate office.
Select your speaker and confirm availability and fee with your Pro-Motivate office.
Confirm the booking by signing our Booking Agreement and paying the speakers deposit to complete the booking.
Pre-Event Questionnaire will be sent to you one month prior to your event containing brief questions about your company and the requirement. This will be sent to the speaker to assist them with their preparation
Conference Call seven to fourteen days prior to the event between the speaker and you, the client, facilitated by us. This helps familiarise you with the speaker and confirms your agenda, saving time on the day of the event and improving the focus of the speech.
Info Pack is posted to clients within seven days of the event containing; confirmation of timings, point of contact, speaker's mobile, presentations on disc for AV preparation and an emergency contact at Pro-Motivate in case of any unforeseen issues.
The Event runs smoothly and to your expectations.
Post-Event Evaluation is requested via email within seven days to provide valuable feedback on the speakers and booking process. This is made available on our website to assist other clients with the decision making process.
Can I book multiple speakers for conferences?
Pro-Motivate are experts at providing full speaker rosters for major conferences. We have met and booked thousands of speakers and welcome providing guidance on speaker suitability from a specific or limited brief.
Here is a case study from a major conference where we organised the speaker line up for Procter & Gamble in Geneva.
How long will a speaker stay with us at our event?
For speaking engagements a speaker will normally arrive one hour before their allotted speaking time. Clients often choose to have the speaker meet with guests informally during this period.
At the designated time the speaker will take the floor and deliver a 30 45 minutes speech often using audio visual aids. This is usually followed by questions to the speaker from the audience for a further 15 minutes.
Following the speech the speaker will normally be pleased to meet attendees and sign their books if requested to do so. We can arrange to have books purchased and delivered in advance to the venue if a client would like this.
If the speaker has been booked for a breakfast, lunch or an after dinner engagement then normally they will participate in the full proceedings speaking in their allocated time slot.
There are of course many uses for speakers which include hosting dinners, master of ceremonies or hosting an awards show, new launches, voice over, golf days and various types of other appearances. These all have different time requirements which we negotiate on a case by case basis.
What special equipment or AV requirements will a speaker have?
This depends on the size of the room that the speaker is performing in. Normally a lapel microphone, lap top and overhead projection screen are required.
Pro-Motivate will in most cases send the speakers visual presentation to you, the client, in advance of the day to ensure checks can be made it functions properly. Some speakers opt to arrive on the day with their presentation stored on a memory stick or DVD for simple plug in and play. We will advise on this as part of our pre-event preparation.
Do you provide speakers to charities and non-profit organisations?
The majority of our speakers will offer up to a one third discount of their fee for work with charities and non-profit organisations. Many speakers in prominent positions are already aligned to their own chosen charities and unable to fulfill further charitable requests.
I would like to get in contact with one of your speakers?
Unfortunately due to the huge volumes of requests that we receive for our speakers we are unable to facilitate this service.
Our role is as Speaker's Agent and we respectfully request that you do not contact us seeking autographs, contact details and personal appearances for good causes where a discount of more than 30% of the speakers advertised fee is anticipated. We are unable to respond to enquiries of this nature.
I would like get in contact with the speaker's agent, how can I?
We refer all appropriate media and promotional enquiries directly to the speaker themselves or to their agent should they be represented by one. For all speaking engagements and appearances in relation to one of our speakers please contact us directly.

Our expertise is identifying, booking and facilitating speaking engagements. Whenever we work with an agent all fees are split fairly ensuring our clients are at no financial disadvantage.
How much does a speaker cost to book and what does this get us?
Seventy five percent of speakers cost between 4,000 / $8,000 and 10,000 / $20,000. The remaining twenty five percent of speakers that we represent command fees of between 10,000 and 150,000 per engagement.
These fees are for a standard 45 minute speech plus 15 minutes of question and answer with time either side to meet and socialise with attendees.
A speakers fee is representative to them of the level of experience and kudos they have achieved through their background and ability as a speaker. We know what a fair fee is for the speaker in question and how far, if at all we can negotiate the fee.
Travel and accommodation costs are added to the overall speakers fee and invoiced immediately after the engagement. Normally a business class ticket will be expected as is a booking in a premier hotel.
The location of the speaking engagement will impact on the fee. If air travel and an overnight stay are required then the speakers fee is likely to increase by between twenty five and fifty percent. This increase in fee is required to cover the loss of other speaking engagements due to extended travel requirements.
Clients may opt to make their own travel arrangements for their speaker by request from Pro-Motivate. We may also set aside a fixed amount for travel and accommodation at the time of agreement.
Can I book a speaker at less cost elsewhere?
No. This is an advantage of working with Pro-Motivate. We work with the majority of our speakers directly with their full consent.
We are a talent buying agent which means that we also work with many other agents and bureaus around the world to co-broker their talent for supply to our clients. We dont charge any additional fees for this service, and the speakers fee remains the same as it would if a client went directly to the speaker.
Instead we have agreed to split the booking commission equally with the agent or bureau. This works to the clients advantage as we provide a vast array of speakers to choose from, not just those of one bureau and at no additional cost. It works to the agencies or bureaus advantage as Pro-Motivate acts as a valuable additional channel to market for their own stars hence the split in their commission.
In addition we provide a thorough booking process and an introduction between the speaker and the client prior to each event.
We also offer all clients rewards for returning to us again for each subsequent speaker booking.
Exclusivity & Managed Speakers
We choose not to represent speakers exclusively as we feel this impacts on the selection process when trying to identify the best speaker. We work with many exclusive speaker bureaus and agents around the world under agreement to co-broker their talent. All agents and speaker bureaus work on a commission basis paid by their speakers as portion of the speaking fee iro: 80/20. The speaker retains 80% and the 20% is split evenly between the booking agent and speakers representative.
Speakers who are frantically busy in their professional careers may choose one speaker bureau to manage all of their speaking work. A well known CEO or ex-President is likely to opt for speaker management. This model is prevalent in the USA but not in Europe or Asia at this time.
The danger of a speaker signing an exclusive arrangement with one speaker bureau is that work that could come from many sources dries up. This may be as a result of a lack of promotion by the chosen speaker company and losing the additional activity generated by being represented by more than one bureau. In addition, the speaker bureau may feel obliged to recommend their exclusive speakers meaning fewer options are provided to the client at the time of the enquiry.

Do you provide training for Public Speaking?
All of our speakers are experienced and seasoned speaking professionals. We do take on speakers such as CEOs and Olympians who have fascinating stories to tell and can speak well from their profession but whom we encourage to improve their speaking output.
We work with a number of our own Motivational Speakers who have taught hundreds of stars, businessmen and speakers how to deliver world class speaking performances. We are pleased to provide this service to speakers and clients when requested.
What are your terms of business & cancellation policy?
Fifty percent of the speaker's fee is payable in advance at the time of booking*. This payment becomes the deposit which if the event is cancelled by the client is non-refundable.
The remaining fifty percent of the speaker's fee is payable together with any travel and accommodation expenses following the event.
Should a booking be cancelled within one month of the event itself then the client will be liable to pay the speaker's fee in full. This fee covers the loss of earnings that the speaker will suffer as they will be unlikely to replace the engagement at short notice.
Should a speaker become unavailable following acceptance of an event then Pro-Motivate will either find an appropriate replacement or refund the payment including the deposit in full. This is highly unlikely.
*Some of our highest profile speakers will request that their fee is paid in full 30 days prior to the engagement itself.
